AI Scheduling Assistant (Callie) overview
Beta
Callie™, Calendly’s AI scheduling assistant, is currently in private beta for select users. Sign up for early access.
Callie™ is Calendly’s AI scheduling assistant. Callie helps you schedule meetings right from your email inbox. Just CC Callie on an email, and Callie coordinates scheduling and replies with available times on your behalf.
For example, you can:
- Schedule meetings with customers or teammates
- Set up follow-up meetings
- Share your availability without sending a link
- Update meeting details without needing to log into Calendly
How Callie works
- Reads the full email thread to understand context
- Replies automatically on your behalf, referencing your availability and meeting preferences in your Calendly account
- Uses your default event type, unless otherwise indicated
- Updates availability in real time to avoid double-booking
- Asks for your approval before making changes to your schedule or a meeting detail
Before you begin
At this time, Callie supports 1:1 meetings (meetings with one host and one invitee).
Callie does not support:
- Multiple hosts
- Group scheduling
- Threads with several teammates
For these cases, share a scheduling link or book meetings with an event type.
How to use Callie
To use Callie, add callie@calendly.com to the To: or CC: field on an email and include your request. Callie replies with times based on your Calendly availability and settings.

Examples: next week, Wednesday–Friday - Time or time range
Examples: Thursday afternoon, Friday from 10–11:30 a.m. - Time zone for availability
Example: “Show times in Eastern Time” - Event Type to use
Example: “Use my Phone Call event type”
Note: If you don’t specify an event type, your default settings will be used.
Invitees can:
- Reply with a time that works for them
- Choose a time from the email
- Select a link to view more times
Best practices
- Give clear instructions, like dates and times when applicable
- Keep scheduling in one email thread
- Keep availability up to date in Calendly
Frequently asked questions

Note: Deleting an event type does not turn Callie off.
How does Callie choose an Event Type?
Callie uses your default event type.
To update it:
- Go to the Scheduling Assistant page
- Select a new default event type
- Select Save changes
You can also ask Callie to use a different event type than your default:
- “Callie, use my Consultation event.”
- “Callie, schedule a Demo event.”
Be specific if you have multiple event types.

Invitees can usually do either.
- Reply with a time: Best for quick scheduling
- Use the link: Required if there are booking questions
You can include this in your message:
“You can reply with one of the times below, or use the link to choose another.”
Use clear and specific language.
Good examples:
- “Any time on or after April 16”
- “Next week, Monday to Wednesday, between 2–5 p.m. Eastern”
Avoid:
- “After 4/15”
- “Sometime next month”
- “Let’s do Wednesday” (no date)
Callie works directly with your Calendly account, so it follows the availability and meeting rules you’ve already set. Your schedule, preferences, and limits all come from your Calendly settings, which keeps everything consistent and within your control.
Callie won’t make any changes without your approval. You review and confirm updates before anything is booked or modified. It also won’t override your Calendly settings—if a time isn’t available, Callie won’t offer it.
Callie uses your scheduling data to automate tasks like suggesting meeting times, drafting responses, and managing bookings. It only uses the information needed to support scheduling and improve your experience.
