How to send and manage invoices in Calendly

With Simple Invoicing, you can bill clients directly from Calendly. Send a professional invoice after a session or for any service.

For example, you can:

  • Bill a client after a discovery call or coaching session
  • Request payment for services not tied to a specific meeting
  • Track what's been sent, viewed, and paid in one place

Before you begin

  • You must connect a Stripe account to Calendly before you can send invoices.
  • Invoices are sent from your Calendly account email.
  • Important: The due date on your invoice is based on your time zone — not your client's.

Create an invoice

You can create an invoice from the Payments page or from a contact's profile.

From the Payments page

  1. Go to Payments.
  2. Select + Create and then Invoice.
  3. Enter your client's name and email address or select a contact.
  4. Add line items. For each item, enter a description, quantity, and price.
  5. (Optional) Add a tax rate, discount, business logo, notes, or payment terms.
  6. Set a due date. The due date is based on your time zone.
  7. Select Send invoice.

Your client gets an email with a secure link to view and pay.

From a contact

  1. Go to Contacts and open the contact you want to invoice.
  2. Select Create invoice. The form opens with their details already filled in.
  3. Add line items and complete any remaining fields.
  4. Set a due date. The due date is based on your time zone.
  5. Select Send invoice.

Send a reminder

  1. Go to Payments and select the Invoices tab.
  2. Locate the invoice you want to send a reminder for and select the three dots menu.
  3. Select Remind.
  4. Select Send a reminder.

Manage your invoices

Go to the Payments space and select the Invoices tab to see all your invoices.

Each invoice shows the invoice number, status, client name, amount, due date, and date created.

Status

What it means

Draft

Not sent yet

Sent

Sent, but your client hasn't opened it yet

Viewed

Your client opened the invoice

Paid

Payment received

Overdue

The due date passed and the invoice is unpaid

How to view an invoice

  1. Go to Payments and select the Invoices tab.
  2. Locate the invoice you want to view and select the three dots menu.
  3. Select View invoice.

How to duplicate an invoice

  1. Go to Payments and select the Invoices tab.
  2. Locate the invoice you want to duplicate and select the three dots menu.
  3. Select Duplicate invoice.

How to void a sent invoice

  1. Go to Payments and select the Invoices tab.
  2. Locate the sent invoice you want to void and select the three dots menu.
  3. Select Void.
  4. Choose whether you want to notify to contact that the invoice was voided.
  5. Select Void invoice.
